We all have a very long list of things to do on a daily basis, but not all of our tasks are the same: some of them are very important and some are not important at all. “Everything on your plate is not critically important, so don’t treat everything on your task list equally,” says Josh Kaufman, author of The Personal MBA.

“A Most Important Task (MIT) is a critical task that will create the most important results you’re looking to achieve. […] If you want to make the most of your limited time and energy, it pays to focus on completing the tasks that will make the biggest difference first…”

As simple as this is, by taking a few minutes every morning (or preferably the night before) to identify the most important tasks, you’ll be able to focus on accomplishing them first. Kaufman recommends creating a list of two or three MITs and focusing on getting them done as quickly as possible. Further, he suggests keeping your MITs separate from your general to-do list, by using such things as a 3 X 5 index card or Dave Seah’s awesome Emergent Task Planner (free).

The key to figuring out what your MITs are, according to Kaufman, is to ask yourself the following questions: “What are the two or three most important things that I need to do today? What are the things that—if I got them done today—would make a huge difference?” Those are the only things that should go on your MIT list.

And to be über productive, Kaufman recommends combining your MIT’s with Parkinson’s Law. Remember, this is the law that states that, work expands so as to fill the time available for its completion. (Wikipedia).

How do you do this?

Easy: set an artificial time limit. “If you set a goal to have all your MITs done by 10:00 am you’ll be amazed at how quickly you can complete the day’s most important tasks.”

And by doing this, you will create a state of focus and effectiveness (flow) that will give you permission to decline interruptions that aren’t important. “If you’re working on your MITs and someone calls you, it’s easier to ignore the call or tell the caller, ‘I’m working under deadline—I’ll get back to you later.’ By definition, everything that’s not an MIT is not as important, so it’s easier to say no to noncritical interruptions.

Combine this with the Be Awesomely Effective miniseries and you’ll be ultra-productive. And you’ll have the rest of your day to deal with anything else that comes up, or to dedicate to crossing off items on your non-MIT task list.

ACTION

TODAY: Take 5 minutes to figure out your MITs for today. Also, take a look at Dave Seah’s Emergent Task Planner. If you like it, download it, print it, and use it today (it’s a great, free resource). If not, think of the best method for you to have a separate list with your MITs.

Productivity guru, Ari Meisel, is back! In a previous post I had shared his idea of The Hour of Power. Today I’ll share his concept of minimum and maximum limitations that comes from his awesome book The Art of Less Doing.

Let’s remember that Meisel found himself very sick and unable to work more than one hour a day for a while, so he became incredibly productive during the little time that he had to work. Nowadays, he’s made a point of continuing to set limits for his work: he gets everything done and still has plenty of time to devote to his family. “The fact of the matter,” Meisel says, “is that everyone functions better with constraints.”

We’re likely very familiar with setting time limits. We’ve talked about Parkinson’s Law before (herehere, and here). It’s the law that says: “work expands so as to fill the time available for its completion”. And if you only have a certain amount of time to do something, very likely you will get it done within that timeframe. Thus the importance of setting time limits to avoid open-ended projects that never get done. Deadlines are important.

And setting limits can apply to physical spaces too. Meisel explains, “If you’re a pack rat and have rooms filled with clutter, tell yourself you’re permitted one box of clutter per room and that’s it!”

To further understand the process of setting limits, Meisel goes into detail about the concepts of minimum versus maximum limitations. “Minimum limits are actually more challenging than maximum limits. It’s easier to be restrictive than to be expansive. For example, it’s much easier to say ‘I have to turn the TV off by ten o’clock at night’ (maximum limitation) than it is to say, ‘I will read ten pages of nonfiction every night’ (minimum limitation).”

Minimum limitations are very effective when it comes to creating habits. “Once you create a habit and couple it with another, your rate of potential success skyrockets.”

Let’s think of exercising with this concept. Find something that you love to do (Activity 1) and set a small goal. Then find something else you love to do (Activity 2) and tell yourself you cannot do the second activity until you’ve finished the first one. For instance, you cannot watch Netflix (Activity 2) until you’ve taken your yoga class (Activity 1). Meisel says this is even more effective if you can combine both, thus setting yourself up to win: “Tell yourself that you can only listen to podcasts [Activity 2] while you’re on the treadmill [Activity 1]. In that scenario, you’ve set up a restriction to help you succeed.”

Time, as we saw earlier, is an easy limitation to set. Money is another one. But you can work with setting constraints in any area of your life that you want to improve on. “This process of setting limitations can almost become a game, and you need to figure out how to work within your restrictions. […] Find a balance between challenging [yourself] and being realistic in terms of [your] lifestyle.”

TODAY: What is a limit that you can put on yourself today for the benefit of your work, time or leisure? How about working with Parkinson’s Law and setting a time limit to finish your work at a certain time? That way you can go home to enjoy your family or to enjoy non-work-related activities.

The to-do and to-be lists

Donna Smallin, professional organizer extraordinaire, is a genius when it comes to productivity with easy, helpful, and actionable tips. She suggests creating a master list of to-dos. Then, taking that master list as a basis, take the items from there to create our daily to-do lists.

Further, she has some great ideas as to how to manage the master and the daily to-do lists:

  • “Do at least one thing each day that will bring you closer to a long-term goal.”
  • “Put the 80/20 principle to work. Only 20 percent of things in your to-do list are priority items…. focus all of your energy on getting those things done.”
  • “Evaluate every item on your master to-do list. Move any tasks that would be nice to do, but aren’t necessary, to a separate “would be nice to do” list.”
  • “Decide which one thing on your daily to-do list is the most important thing to get done. Do that first.”
  • “The secret to getting through your daily to-do list is to put fewer things on it. Just list the three most important things to do that day. If you have time left over at the end of the day, you can always add another task from your master list.”
  • “At the beginning of each week, create time in your schedule for each one of your priorities. Then schedule everything else around those things. If having more free time is a priority, schedule your free time first. Then schedule focused work time. Use the time in between for completing routine tasks.”
  • “Apply the on/off rule to commitments: before you agree to be on a committee or board, get off a committee or board.”

And the last suggestion from Donna that I want to highlight today (because it’s one that I absolutely love and that is rarely talked about) is THE most important one of all:

“Remember that in the big picture of life, your to-do list is not nearly as important as your to-be list: schedule time to be with the people you love, in the places you love, doing the things you love to do.”

ACTION

TODAY: Create your master to-do list and your to-be list. Schedule your priorities from both to-do and to-be lists today and commit to honoring them. You’ll be glad you did!

FUTURE: As you plan your week/month/time ahead, schedule your priorities from both to-do and to-be lists in your calendar. Next, schedule focused work time, and then everything else. Parkinson’s Law will ensure that you finish your tasks in the time you have allotted for them. You’ll be surprised how much you can get done in little time if you are focused and intent on getting things done. (Expand on this idea by reading this quick post about Capacity.) Further, is there any way you can create synergy and overlap? E.g. Could you go for a jog (to-do: workout) with a friend whom you haven’t seen in a while (to-be: with friends, at the park) and catch up during your run?

Have you ever been in a time crunch, having tons of things to do and on a tight deadline, and somehow—magically—you were able to get it all done?

Let me introduce you to a new friend, Parkinson’s Law: “work expands so as to fill the time available for its completion.” In other words, if you need to do something and have little time to get it done, you will get it done in a little amount of time–you’ll be super productive. Likewise, if you have a lot of time, you will find a way to fill that time with work in order to accomplish your goals.

“Capacity is a state of mind. How much we can do depends on how much we think we can do. When you really believe that you can do more, your mind thinks creatively and shows you the way.”

While there are indeed some human limits, I bet you can relate. Our mind can be our best friend and sometimes our worst enemy. Make Parkinson’s Law work for you! Capacity is indeed a state of mind. This reminds me of Henry Ford’s quote: “Whether you think you can, or you think you can’t—you’re right.”
